Privacy Policy

1. Who we are

TradeFlow provides job, crew, expense and invoicing software for contractors at tradeflowbase.com. This policy explains what we collect, why, and what control you have.

2. Information we collect

• Account information — name, email address, company name, and login credentials (passwords are stored only as salted hashes by our authentication provider).
• Business data you enter — customers, jobs, estimates, invoices, labor hours, receipts, vendor bills, and related files.
• Imported accounting data — if you connect QuickBooks Online, we import the records you authorize (customers, vendors, items, invoices, expenses and related metadata) to migrate them into your TradeFlow workspace.
• Billing information — subscription plan and status. Card details are handled by our payment processor and are never stored on our servers.
• Technical data — log records, IP address, browser type and timestamps, used for security and troubleshooting.

3. How we use it

We use your information to operate and secure the service, migrate and display your records, process subscriptions, provide support, send service and billing notifications, and improve reliability. We do not sell your data, and we do not use your business data for advertising.

4. QuickBooks Online data

Connecting QuickBooks Online is optional and requires your explicit authorization through Intuit. We access only the scopes you approve, use the imported data solely to populate your own TradeFlow workspace, and never share it with other customers or third parties. Access tokens are stored encrypted at rest. You can disconnect at any time on the QuickBooks page in TradeFlow, which revokes our access and stops further syncing; imported records already in your workspace remain yours and can be deleted on request.

5. Service providers

We rely on a small number of processors to run TradeFlow: a cloud database and authentication provider for storage and login, an email delivery provider for notifications, a payment processor for subscriptions, and an AI provider used to categorize and map imported records. These providers process data only on our instructions.

6. Security

Data is encrypted in transit (HTTPS) and at rest. Access to your workspace is restricted by row-level security so that each account can only reach its own records. Administrative access is limited and logged. Support sessions that view your workspace require your consent.

7. Retention

We keep your data for as long as your account is active. After cancellation, data is retained for a limited grace period so you can export it, then deleted. Backups age out on a rolling schedule.

8. Your rights

You may access, correct, export, or request deletion of your data at any time by contacting us. Depending on your location you may also have the right to object to or restrict certain processing, and to lodge a complaint with a supervisory authority.

9. Cookies

We use essential cookies and local storage to keep you signed in and remember workspace preferences. We do not use third-party advertising cookies.

10. Children

TradeFlow is a business tool and is not directed to anyone under 18.

11. Changes

We may update this policy. Material changes will be announced in the app or by email, with the effective date updated above.
